1. Hospitality Coordinator Position
The Hospitality Coordinator assists GreenRetreat Management with business-wide
logistics in the office, on the web, and in social media. He/She will perform
basic office duties and coordinate logistics for the accommodations,
housekeeping, tours, and inventory.
This executive assistant position will include a variety of tasks which will
require a wide degree of creativity and latitude. The Hospitality
Coordinator personally ensures all aspects of daily logistics occur smoothly
with the assistance and direction of the GreenRetreat Management.
Hospitality Coordinator Responsibilities:
1.
Basic Office Duties
Answer phones, accurately note
messages, and deliver messages to appropriate personnel
Read, assess, and answer emails (often with informational form letters)
Learn to schedule accommodation rentals over the phone on a web based system
File paperwork and assist with organizational duties.
Act as Liaison/primary contact for all Walk-ins
Prepare and present established marketing materials to Clients/Walk-ins
Request supplies/plan the order of necessary office materials (as needed) so
that GreenRetreat Management may make timely purchases
2.
Web and Social Media Duties
Update and maintain online calendar
Update facebook page
Update online coupons
Regularly assess online relationships to assure web presence
3.
Accommodation/Housekeeping Logistics
Maintain an accurate knowledge of which accommodations are booked (check-in/out)
Ensure Clients’ requests are carried out to satisfaction within GreenRetreat
parameters/ensure that each rental occurs to the best of our abilities
Schedule cleaning services for accommodations as necessary
Track cleaning and laundry supplies
Supervise/double check cleaning, laundry, and staging services
4.
Schedule and Guide tours of GreenRetreat for Walk-ins and potential Clients
5.
Create “To-Do” Lists for GreenRetreat Management Members when necessary
Offer
designated/established Comps when appropriate (with permission)
Offer
designated/established donations for community charity events (with permission)
6.
Assist in researching/pricing/creating ads for GreenRetreat as a whole
7.
Office, computer, cleaning, and other hospitality tasks as assigned
Requirements /Qualifications include:
High School Graduate
College Degree preferred
Courses in Office Management and/or Hotel Management preferred although previous
work experience of equivalent levels would suffice
2+ years of previous work experience in a similar position
Other Skills & Abilities:
1.
Excellent written & oral communication skills in English
Excellent phone & people skills
Ability to maintain sensitive and confidential information
Ability to handle difficult or emotionally charged situations with calm
professionalism

A high level of organizational skills & excellent punctuality for all job

must

Must be able to help plan a wide variety of indoor and outdoor events
Must be well versed in etiquette
Must be able to communicate farm, equipment, and animal safety issues to Clients
when needed

Must be physically able to perform all job duties
Extensive walking is involved in the position on a day to day basis
Moderate bending, stooping, lifting and carrying are required
Must be able to lift 25 pounds without assistance
Must possess
a valid driver’s license and driving record appropriate for responsibilities.

special events for GreenRetreat and outside clients. He/She will coordinate all
amenities at the event, performing a variety of tasks which will require a wide
degree of creativity and latitude. The Event Coordinator personally
ensures all aspects of events occur smoothly with the assistance or direction of
the GreenRetreat Management and/or other Events Team Members.
Event Coordinator Responsibilities:
1.
Support/coordinate assigned events from start (day assigned) to finish (all
final follow-up).
2.
Act as Liaison/primary contact for all Clients attending GreenRetreat events
3.
Prepare and present established marketing materials to Clients
4.
Create, compile, and present pricing structures and packages to Clients
5.
Create, complete, and compile “Hold Harmless” agreements and/or permission slips
as necessary
6.
Request supplies/plan the order of necessary materials (as needed) so that
GreenRetreat Management may make timely purchases
7.
Plan and present staff/volunteer requirements/schedules for GreenRetreat
Management review
8.
Prepare all materials to be hung/distributed during events (i.e. name tags,
brochures, signage, etc)
9.
Open or Close facilities when events are booked (shared between all Events Team
Members)
10.
Support assigned events on-site in an effort to ensure all logistics proceed as
planned and handle any unexpected or last minute situations that arise
11.
Ensure Clients’ requests are carried out to satisfaction within GreenRetreat
parameters/ensure that each event occurs to the best of our abilities
12.
Maintain a highly organized events filing system
13.
Create and maintain a Perpetual Calendar of GreenRetreat Events
14.
Help control costs:

Engage the community/Represent GreenRetreat
a.
Foster solid relationships with local Artists, Musicians, and Vendors
b.
Attend Chambers of Commerce Meetings & other limited community events
c.
Schedule and Guide Tours of GreenRetreat for event Clients
d.
Offer designated/established Comps when appropriate (with permission)
e.
Offer designated/established donations for community charity events (with
permission)
